Office Secretary

BASED AT: B. I. Solutions, Kumaripati, Lalitpur

REPORTS TO: Project Manager

JOB PURPOSE: Office secretaries play a supportive role in organizations where they are employed to undertake a variety of administrative and clerical tasks. As a secretary, you will assume the duty of clerical and administrative support in order to optimize work-flow procedures in the office. You will assist colleagues and executives by supporting them with planning and distributing information. You will be the point of reference for all queries, requests or issues, and will be an integral part of the company’s workforce.

KEY RESPONSIBILITIES:

  • Answering phone calls and redirecting them when necessary

  • Preparing and disseminating correspondence, memos and forms

  • Managing daily/weekly/monthly agenda and arrange new meetings and appointments

  • Preparing meeting minutes and relevant documentation

  • Liaising with relevant organizations and/or individuals

  • Coordinating mail-shots and similar publicity tasks

  • Check frequently the levels of office supplies and place appropriate orders

  • File and update contact information of employees, customers, suppliers and external partners

  • Support and facilitate the completion of regular reports

  • Document expenses and hand in reports

  • Undertake occasional receptionist duties

KEY SKILLS/COMPETENCIES:

  • Strong command over verbal/written English and Nepali

  • Good knowledge of email clients like Thunderbird

  • A cheerful personality

  • Proficiency in English as well as Nepali

QUALIFICATIONS/BACKGROUND:

  • Minimum of a completed or running undergraduate (bachelor’s) degree

  • Any prior relevant experience with secretarial work is considered a plus point

NOTE:

  • Candidates are expected to be comfortable with office timing that usually ranges from 8:30 A.M. to 5:30 P.M.

  • Female candidates are given due preference
